Background
This photography special business event case study has been created to assist business event managers and planners to make a case for using professional Sydney photographers at their future in person and hybrid events.
Orlando Sydney Photography worked with all the other vendors and media to deliver all photos in less than 3 days. This gave the client, event manager and attendees maximum follow up exposure. One of the later business events was also using COVID Safe protocol and venues.

Challenges
With most business events having a full program of speakers in multiple rooms it was required we be 100% focussed on the running order and not miss key presentations. Keeping to the schedule was critical to the smooth running and documenting all the business events. Programs included day time activities with international experts, followed by an exhibition in adjoining spaces. At night, the program continued for the gala dinner awards nights at a different venue to photograph the recipients receiving their special achievement awards and all the fun way into the night. Budget for some of the business events had some elasticity while others did not as there was a fixed amount allowed for in the photography budget. Having a good working relationship with The Conference Company there was always a happy agreeable middle ground.
Solutions
Working closely with The Conference Company, Orlando Sydney Event Photography studied the programs and drew upon our extensive experience at the selected venues. Local Sydney knowledge, proximity to the venues and understanding the flow of the various function spaces made a big difference in meeting the photography briefs. Having the right camera gear and equipment also helped keep the focus on the speaker, expo and awards sessions over 12-16 hour days. Some events ran from 8am and finished after dinner and dancing at 11pm.
Outcomes
Successfully covered the entire program for each business event series. Speakers, exhibitors, sponsors and the venue able to access the photos in less than the industry standard time of one week.
All presentations, break-out rooms, trade show spaces and food service. We worked in and only captured photos that demonstrated covid safe compliance and instructional signage and protocols being followed.
Highlight photos were digitally delivered after each major session or day. Full photo albums delivered in with an easy one click access to high and web ready photos. All participants were able to use the photos to promote their attendance, the event and the healthcare community.
Photos were used across all social media channels, industry journals and on business and personal websites.
